The easiest receipt system is one you can maintain after every purchase. You do not need to scan your entire filing cabinet to start. Pick a recent purchase and keep its receipt, purchase details, and warranty information together.
1. Make a readable copy
Lay a paper receipt flat in good light and photograph the entire receipt. Avoid glare, shadows, and cropped edges. Open the image afterward and zoom in: can you read the product description, retailer, date, and total? For an online purchase, save the invoice or receipt supplied by the retailer rather than relying only on a link in an email.
2. Organize by purchase
Use a name you will recognize later, such as “Kitchen dishwasher” or “Work laptop.” In a folder-based system, a name like “2026-09-23 — Retailer — Dishwasher” can make sorting easier. Keep related files together: receipt, warranty document, and any useful order confirmation.
3. Separate purchase, return, and warranty dates
These dates serve different purposes. Record the purchase date from the receipt. Check the seller's return policy and the product's warranty documents separately. Do not calculate either deadline from a generic rule or assume a warranty starts on the day you first use the product.

4. Keep originals when needed
A digital copy is useful for finding information quickly, but it is not a promise that every retailer will accept it. Check the applicable requirements before discarding paper documents. Keep any original you may need in a labeled folder so you can connect it to the digital record.
5. Check that the backup is usable
After saving, reopen the purchase and its attachment. Confirm that the upload completed and the document is readable. When changing phones or accounts, verify you can still access the records before removing old copies.
